01 · Model the standard

Begin With Your CPD Rules, Not a Blank Online Form

A simple CPD diary records what someone learned. A professional body must answer a few more practical questions: Does the activity count? Is evidence required? Who checks it? What happens if the member falls short? The complete set of answers is the organisation's CPD framework—plainly, the rules that apply to a group of members during a particular period. Two bodies may both require 40 hours and still need very different software.

  • Define hours, points, units, or another measure and the period in which they apply.
  • Set mandatory and elective categories, minimums, maximums, and overall totals.
  • Apply different requirements by grade, credential, role, or practising status.
  • Control carry-over, caps, exemptions, extensions, and pro-rated periods.
  • Distinguish structured, unstructured, internal, and externally completed learning.
  • Define which submissions need evidence, reflection, supervisor confirmation, or review.

Version the framework

Changing next year's rule should not recalculate a completed historical period. Keep the effective dates and rule version used for every compliance result.

If a system stores only an accumulated number, it cannot explain why that number changed, which evidence supports it, whether the mandatory categories were met, or which credential the result affects. Stable relationships between these records make the outcome auditable and correctable.

Evidence requirements may differ by activity type. An internal event recorded by check-in may not need a separate certificate. External learning may require a provider document. Informal learning may require a reflection. When a member replaces evidence, keep the former version as superseded rather than silently overwriting it.

Not every activity needs individual review. Trusted internal records may be accepted automatically, structured provider data may be validated, and external or sampled submissions may be reviewed. A reviewer should also be able to accept part of a claim: a six-hour course might contribute four eligible hours or count toward one category rather than another.

  • Record the reviewer, date, evidence version, accepted units, category, and decision reason.
  • Show which information the member must add when a submission is returned.
  • Keep rejected and replaced evidence without counting it toward the result.
  • Define an appeal or reconsideration route only where the organisation permits one.

05 · Explain every result

Show How the Result Was Calculated and Handle Exceptions Clearly

Members and authorised staff should see the required units, accepted units, submissions still under review, progress by mandatory category, outstanding requirements, relevant exemptions or extensions, and the rule version used. Labels such as Compliant, On track, Incomplete, Under review, Exempt, and Overdue are useful only when their reason is visible.

Do not edit the target without an exception record

Reducing the required total may make the dashboard turn green, but it removes the reason, approval, original requirement, and expiry needed to understand the result later.

06 · Keep statuses separate

Be Clear About What Happens When CPD Is or Is Not Complete

CPD status may affect a credential, practising certificate, grade, selected entitlement, or membership renewal. Do not collapse those outcomes into one field. A person may remain a member while a credential is under review, or hold several credentials with different periods and requirements.

The member portal should explain the outstanding requirement and next action rather than silently disabling renewal. Staff reporting should identify the exact framework, period, category, evidence state, and consequence behind every hold.

07 · Test the category rule

A Member Can Meet the Total and Still Miss a Requirement

The fictional Meridian Professionals Association offers general membership and a separate Certified Practitioner credential. Leila's credential requires 30 points, including five ethics points. She has 34 accepted points overall but only three in ethics, with two more ethics points awaiting review. Her membership renewal remains available, while credential renewal is Under review. When the evidence is accepted, the credential becomes eligible without rewriting the membership history.
